About IVF AWARD

As a response to the expectations of patients, we organize multichannel information campaigns and take action with the aim to facilitate infertile couples to take a decision concerning their treatment. There is, however, something more that we are intending to do. Our pursuit is to promote good practice and stimulate competition, which results in high quality of services; therefore, we established the IVF AWARD.

In order to promote those clinics which provide their patients with the best care and comfort during the treatment, easy and transparent access to the information we grant the IVF Award. Faced with the dynamic growth of the IVF market, we wish to appreciate those clinics, agencies and gamete banks that pay particular attention to the well-being of their patients in day-to-day operations and stand out in this field’s key areas.

How to enter

  • Please review the Award Categories and read the Entry Criteria below.
  • You may enter in more than one category. However, separate entry forms and supporting materials are required to provide.
  • Take a closer look at “Guidance notes for preparing entries” below.
  • Complete the online submission form.
  • The entries can be made by an IVF clinic.
  • Applicants must have been in operation as a licensed healthcare provider in its respective country providing reproductive care services according to the national law for at least two years.
  • Applicants must have been working to improve the quality of their reproductive care and non-clinical services through a continuous quality improvement program within their quality management system.
  • Applicants must have a “Patient Care Department” or similar unit managing patients at different phases of the process: pre-travel, on arrival, onsite treatment, discharge, and post-treatment follow-up.
  • The closing date for entries is September 30th, 2020.
  • The announcement of the winners will take place on November 7th, 2020.

The entries for the IVF AWARD 2020 must relate to activities carried out in the previous year – 2019. 

It will be necessary to include the following information within your submission form:
(each section is maximum 2,500 characters)

  • Brief description of the project. 
  • Project goals – what were the objectives for the project?
  • Project strategy – what was behind the strategy, what helped to achieve the goals?
  • Project implementation – how was the project implemented?
  • Project outcome – what were the results and what has been achieved vs. goals.

Additionally, you may attach any supportive materials regarding the project – presentation, charts, visuals.

Award Categories

Awarded to an IVF clinic that demonstrates a personalised approach to customer care & support focused on patients looking for IVF treatment options.

The judges will be looking at personalised solutions in the field of patient care led by IVF coordinators, nurses, midwives or a medical team. Entries may relate to a single project or initiative or the overall activity regardless of the stage of the patient’s treatment.

Awarded to an IVF clinic that provides unique programme of supporting patients during and/or after their IVF treatment cycle – ensuring exceptional patient experience and/or emotional support.

The judges will evaluate solutions that aim to improve the relationship between the patient and the clinic team during IVF treatment. In particular, initiatives and projects that make patients feel professionally cared for during the various stages of IVF treatment. 

To drive transparency for patients worldwide, IVF clinics in this category should show how they collect the results of their patients from their initial treatment up to the possible healthy live birth result.

The judges will evaluate information available to the public on: where and how the information is published and how the information was collected.

Awarded to an IVF clinic that run an innovative campaign or activity focused on attracting international or local patients looking for IVF treatment options.

Entries may relate to a national or international campaign, project or activity aimed for attracting new patients and/or brand awareness support. The judges will be looking at the overall idea, outcomes, communication strategy and channels and range of the support for patients if applicable.

Awarded to an IVF clinic website that provides information and assistance for IVF patients in a transparent, ethical and well-structured way with easy access for everyone interested.

Elements influencing the quality and ease of access to information will be assessed, as well as the scope and presentation of the following information for the patient: treatment offer including a description of specific methods and techniques, the effectiveness of treatment, price offer, basic information for the patient on the organisation of treatment at the clinic, online tools helping to access the information or organise treatment, including possibilities (channels) of direct contact with the clinic.

Awarded to an IVF clinic blog (or part of the website) that provides educational content supporting fertility patients looking for answers to their questions regarding infertility, treatment options, embryology techniques and procedures.

The judges will evaluate content and tools regarding general infertility treatment which gives patients an opportunity to acquire knowledge about particular fertility issues and possible solutions written in intelligible language. Ease of use, the scope and quality of information will be evaluated.

Judging

The entries are judged by an independent panel of experts who are representatives of all areas of the reproductive medicine field. Members of this panel are chosen on the basis of their knowledge, expertise and long-term practice in dealing with fertility clinics and their patients.

They independently inspect each submitted entry and rate them based on their respective judging criteria – at the same time making sure that all the procedures in the judging process align with the Awards’ values of clarity and transparency. The award winners are chosen on the basis of judges’ combined ratings.
